The team, comprised of fewer than 10 people in the Paris office, is distinguished by its agility, high standards, and close relationships with its partners. A true pillar of the organization, you will ensure the smooth daily operation of the office and work across a broad scope in direct contact with management.
In this context, here are the tasks assigned to you:
1/ Office management & legal coordination: Management and monitoring of supplier contracts, general services, service providers: ensuring the office is well-maintained, monitoring and ordering of consumables. Main contact for external stakeholders. Coordination of meetings. Preparation of General Assemblies: compiling materials and documentation, sending out notices, minutes and agendas, proofreading and formatting. Welcoming new employees (staff, interns and regular contractors): managing arrivals, access, IT equipment, etc. Coordination and organization of internal events (annual seminars, Christmas party, dinners, etc.)
2/ Administrative and Financial Management: Invoice tracking, payment processing and monitoring of payment cycles, transmission of targeted information to the chartered accountant, administrative support for companies (creation, documentation, etc.), updating contacts in the internal CRM, processing expense reports for management. Profile: You have at least 5 years of experience in a similar role working with one or more managers in the finance or consulting sector (strategic or legal). You are known for your rigor and your ability to resolve situations through initiative. You are particularly proactive and efficient. You enjoy learning and are curious. You seek out information independently. You are autonomous. You possess great agility and a strong sense of priorities. When dealing with demanding managers, you are flexible, firm yet diplomatic, and know how to handle matters with great tact. You understand the norms of high-level environments and deliver excellent service to your contacts. You have an eye for detail; nothing escapes you.
